Smile Panda Tours respects your privacy and recognizes the need to protect the personally identifiable information (any information by which you can be identified, such as name, address, and telephone number, Credit card /Debit card information , etc..) you share with us. We would like to assure you that we follow appropriate standards when it comes to protecting your privacy on our websites.
In general, you can visit Smile Panda Tours website remaining anonymous. We track the I.P. Address of the device you use to visit us only to get the geographical location and analyze this data for trends and statistics, but the individual user remains anonymous.
Some of our web pages use “cookies” so that we can better serve you with customized information when you return to our site. With specific reference to booking/e-commerce transactions, Smile Panda Tours collects the following personal sensitive information from you while transacting through Smile Panda Tours:

  • Name and Sex
  • Phone Number
  • Address
  • Passport and Visa details.
  • Date of birth in case of a child
  • Your basic health information (If you are going to an adventure trip with us).

Smile Panda Tours does not sell or trade upon any of the above foregoing information without the consent of the user or customer. The foregoing information collected from the users/customers/travelers is put to the following use-
Customer name, address, phone number, traveler’s name and age are shared with applicable service providers like the airlines, hotels, etc., for the purpose of advance permit, reservation and booking the services for the customer/traveler.


This TERMS AND CONDITIONS constitutes a binding contract between you, the User (representing him/herself and other group members), and “Smile Panda Tours & Travels” with regard to the use of various services that are provided by “Smile Panda Tours & Travels”.

Henceforth, the terms ‘you’, ‘they’, ‘their’, ‘client’ and ‘group’ means a user who is buying a product from “Smile Panda Tours & Travels”. Please note that the terms ‘We’ and ‘Us’ refers to “Smile Panda Tours & Travels” which is selling the product. The words ‘trip’ and ‘travel’ represent the product(s) sold by “Smile Panda Tours & Travels”.

Booking confirmation Policy: Your booking is only confirmed when you complete the Booking procedure, Payment procedure and get a confirmation mail with a valid receipt from us.

Passport and visa: A client must be ensuring to have valid passport and visa (for foreign tourist) and valid id card (for national tourist) while traveling with us. We are not responsible for any incorrect or invalid documents if you are not allowed to roam through the country or refused to enter into places due to any such reason(s)

Booking Procedure: Once you decide your trip with us, do let us know through email or the contact us form available in our website. we will send you a registration form to your registered email id. You just have to fill up the form and send it back to us. Next comes the payment procedure.

Payment Procedure: After submitting the registration form you have to transfer the trip cost to our account . You may look at our ‘Advance Booking Fee’ structure for a reference. Remember you will get a money receipt also if you follow the advance booking fee.

Advance Booking Fee-

  • 30 days or more before date of departure: 25% of total cost ( NON REFUNDABLE )
  • 29 – 20 days before date of departure: 50% of total cost.
  • 19 days or less before date of departure: 100% of total cost.

Important: The booking stands liable to be canceled if 100% payment is not received 19 days prior to departure date and received amount will be fully forfeited. During peak season, tourists are advised to book early, as cost may increase with higher demand.

*please note that if for some reason after doing the advance booking fee if you can’t transfer the remaining money, you still have an option to pay us in cash. But in such case you have to inform us well in advance and our decision will be final.

Receiving Confirmation mail: Once we get your registration form and 100% of the trip cost we will send you a final confirmation mail with a money receipt copy.

Cancellation Policy

If you Cancel your trip
You or any member of your party may cancel their travel arrangements at any time. Written notification or an e-mail (From the registered email id only) to that effect from the person who made the booking must be received at our office. The cancellation charges applicable are as per the published cancellation policy below:

Cancellation charges per person
30 days or more before departure: 25% of total cost
29 – 20 days before departure: 50% of total cost
Less than 19 days before departure: 100% of total cost

*Please note that group tours/packages are based on a Minimum Number of passengers traveling: if the number of passengers falls below the minimum required, a surcharge may be imposed on all passengers.

If we change or cancel your holiday
We do plan the arrangements in advance. It is unlikely that we will have to make any changes to your travel arrangements.
Occasionally, due to some unavoidable circumstances, we may have to make changes and we reserve the right to do so at any time. If there are any changes, we will advise you of them at the earliest possible date.
We also reserve the right under any circumstances to cancel your travel arrangements by assigning reasons to you.
If we are unable to provide the booked travel arrangements due to reasons beyond our control (e.g. bad weather): We shall first try to offer alternative arrangement or alternate dates for the tour if the tour hasn’t already commenced.
If the tour has already commenced, then we shall refund the booking price/fee charged to you on a pro-rate basis depending on the portion of the tour utilized by you.
In all circumstances, however, our liability shall be limited to refunding to you the price we charged as tour fees ( exclusive of the actual cost incurred by us ).

If you want to change your holiday plan
After confirmation of services, if you wish to change your travel arrangements in any way (e.g. your chosen departure date or accommodation), we will do our best to make required changes, but it may not always be feasible. Any request for changes must be in writing from the person who made the booking. All cost incurred due to amendment will be borne by you.

Risk & Liabilities: We are committed to providing the best services which will give you a once in a lifetime journey In this connection, we perform our duties honestly & seriously to make your journey very smooth and pleasant. Remember the entire programs in West Bengal, Sikkim & Bhutan are conducted strictly under the rules and regulations applicable in each area and most of areas contains mountains, forests. Therefore, Smile Panda Tours and Travels and its related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstance such as landslide, road blockage, flood, snow, any other natural calamities, govt. restriction, political unrest, cancellation or delay of flight, client’s sickness or accident. Smile Panda Tours & Travels would like to inform you that you need to take all risk on yourself such as physical or mental damages or injuries or death resulting from these risks.

Travel Insurance: We don’t provide travel insurance. It’s advisable for clients to arrange their travel insurance with a reputable insurer, with protection for the full duration of the tour, to cover personal injury, medical expenses, emergency helicopter expenses, repatriation expenses, loss of luggage and the expenses associated with cancellation or curtailment or a tour before they commences a trip with us. If a client becomes ill, all hospital expenses, doctor fees and repatriation costs are the client’s responsibilities and the company shall not be liable for any refund of the tour cost.

Health and fitness: All tours and treks in West Bengal, Sikkim & Bhutan demand a sufficient level of fitness, therefore you should consult your doctor regarding your health and fitness condition before preceding your journey. If you are going in a adventure trip with us then we will send you a form containing questions about your basic health. You are requested to fill that form with correct data so that we can understand your physical condition for such tour. However, we will not be able to know the authenticity of the information sent by you and thus, shall accept it in a simple faith. Remember we also keep the right to send you or any or all of your group members back at any point before or during a tour considering your physical condition.

Personal loss or damage: Smile Panda Tours will not at all responsible for any possible loss or damage of luggage, video camera or any personal belongings as it is the responsibility of traveler to take care of their personal property.

Incomplete tour: There will be no refund for incomplete tour or under no circumstances will there be a refund of any kind if you leave the trip or we send you back considering your health factor once the trip has started for any reason. Remember while you are traveling in a group for Sightseeing tour, One day hike, Trekking, Biking Trip or any other group traveling with us and you have to leave the group during the tour for any reason, we can do the arrangement for you. However, the total cost for such arrangement have to be borne by you and we will not responsible for any physical or mental discomfort in such case.

Updating Terms and Condition: To serve our clients better we keep the right to update and modify these terms at anytime. It’s the responsibility of the clients to keep them updated with the Terms and Conditions.
